Company Policies is a document that outlines an organization’s rules, regulations, and guidelines. They provide a consistent baseline to achieve the mission, goals and objectives.

 

Different types of company policies

  • Code of conduct: This policy outlines the standards of professional behaviour employees should follow while at work. This includes maintaining a proper work environment, adhering to dress codes, and not using social media or electronic devices during work hours. If employees do not follow these policies, their employer may take action to correct the situation.
  • Time Off, Attendance, and Leave Policy: The time off and attendance policy outlines the work schedule guidelines for all employees. It defines how an employee should notify their reporting manager in case of time off. Leave policy should provide how many leaves employees are entitled to in a year and split them into different types of leaves. The absence policy should also address consequences for employees who fail to adhere to the procedures.
  • Workplace Security Policy: Every company has sensitive information to be kept confidential. The document covers various policies such as issuing identity cards, secure log-in procedures, the number of times to change passwords and many more.
  • Sexual harassment workplace policy: This policy defines the company’s expectations for dealing with sexual harassment in the workplace. It outlines what constitutes harassment, how to report it, and the consequences of a violation.

Workplace policies aim to ensure that every team member understands the mission, values and standards by which a company operate to protect the company’s reputation and ensure that employees are treated fairly.

     The goals of company policy are to:
  • Be transparent and accountable for all actions of the company and its employees
  • Provide guidelines for employee behaviour, which is essential to maintaining a productive workplace environment
  • Maintain a safe work environment that encourages safety and productivity
  • Ensure that all applicable laws, regulations and policies are followed.

 

How to write and implement a company policy:

When you create a company policy, you want to ensure it’s clear, concise, and easy to follow.

  • Document goals: Before creating a policy, you want to address, ask yourself whether it is necessary and how it will help your company. As much as possible, tell employees why you’re implementing the policy, and include enough details so that they understand. Consider keeping the policy short and simple.
  • Investigation: Before you draft a policy, gathering as much information as possible about the topic is important. Do online research to determine if there are any similar policies of other organizations that may have been effective in addressing similar issues faced by those organizations.
  • Write and review: Use simple words and concepts to create a clear and effective policy. Be sure to take feedback from the employees to make changes if required.
  • Implement: Send them to all the employees asking for a signature if they have received and understood. If not, give them a chance to ask questions regarding their doubts.
